How we handle your information

Booking requests

When you send a booking request we collect your name, phone number, and whatever else you choose to give us: email, suburb, preferred times, the funding you expect to use and any notes about the situation. Referrers also give us the client's name and a plan or claim number.

We use those details to call you back and arrange an appointment. They are stored in our booking system and emailed to the practice. We do not share them with anyone outside the practice and your funding body, and we never sell them or use them for marketing.

If you decide not to go ahead, tell us and we will delete the request. Otherwise a request that does not become an appointment is removed after twelve months.

The assistant

The assistant in the corner of the site sends your question to Anthropic, which runs the language model that answers it. We do not store the conversation. Closing the panel ends it, and nothing is kept that would let us or anyone else read it back later.

We keep a count of how many questions are asked each day, so we can see whether the assistant is useful and what it costs to run. That count holds no questions, answers or identifiers.

Please do not type anything into it you would not say to a receptionist. It gives general information only, and it is not the place for clinical detail.

Preventing abuse

To stop automated abuse of the booking form and the assistant, we count recent requests against a one way scrambled version of your network address. The address itself is never written down, and the count is discarded within ten minutes.

Measuring how the site is used

We use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you. It is why this site has no cookie banner. We can see that a page was viewed and roughly where in the world from, not who you are.

The only cookie this site sets is for staff signing in to the admin area, and it exists only after someone signs in.

Where it is held

The website and its database run on Cloudflare. Email is sent through Resend. The assistant runs on Anthropic. Each of these is a service provider that processes information on our behalf, and some processing happens outside Australia.

Seeing or correcting what we hold

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Call 0459 947 067 or email [email protected] and ask for the practice manager. We will respond within 30 days.

If you are not satisfied with how we have handled your information, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
